The challenge

Orders by email, prices outside the webshop

The client sold to businesses with several buyers per account, each with different spending limits and responsibilities. Orders came in by email and phone, prices were agreed per customer outside the webshop, and account managers re-keyed orders by hand.

This created extra admin work, slowed down order approvals and made it hard to give each customer the right catalogue, prices and invoices.

  • Several buyers per account, each with their own limits
  • Extra admin work for account managers
  • Slow order approvals
  • The right catalogue, prices and invoices for each customer

The goal was a B2B portal where business customers can order on their own terms, and account managers keep control of their accounts, without breaking Magento’s core functionality.

Our solution

Six building blocks of the portal

Maven Infotech built the portal on the Adobe Commerce B2B features and extended them with custom Magento modules where the client’s workflows needed more.

Part 1 of 6

Company accounts and buyer management

We set up company accounts so each business can have multiple users, with roles such as company administrator, purchasing manager and buyer. Each role has its own permissions, for example who can place orders, view invoices or manage users. Every company is assigned a sales representative, so account managers can see and support their own customers.

Requisition lists let buyers save the products they order regularly and reorder them in a few clicks.

Part 2 of 6

Purchase order approvals and negotiated quotes

We configured purchase order approval rules that match each company’s purchasing policy. For example, orders above €x need approval from a purchasing manager before they are placed.

Buyers can request a quote from the cart and negotiate prices with their account manager inside the portal. We extended the standard quote flow with: quote expiry dates / extra fields / sync of accepted quotes to the ERP.

Single sign-on (SSO)

Optional, only if builtWe added single sign-on using SAML 2.0 / OpenID Connect with the client’s Microsoft Entra ID through a custom / third-party module, so employees log in with their company account. Session lifetime and access rules follow the client’s security policy.
Part 4 of 6

Role-based access and API security

Buyers only see the features their company role allows. In the Magento admin, account managers and staff work with their own admin roles, so they only access the customers and functions they are responsible for.

Only if trueWe kept the B2B APIs scoped to the buyer’s company, so one customer can never read or change another company’s orders, quotes or users.

Part 5 of 6

Company-specific catalogues and pricing

We used shared catalogues to control which products and prices each company sees. x catalogues cover the client’s customer segments, and negotiated prices are set per catalogue. Separate store views support Dutch and English / Belgium and Germany.

VAT and invoicing

We set up VAT number validation (VIES), so verified EU business customers are automatically placed in the right customer group and get the correct tax rule. We also customised the PDF invoice layout to show the company name, VAT number, PO number and the reverse-charge (“btw verlegd”) note.

The outcome

Order, approve and reorder, all in one portal

Business customers now order, approve and reorder on their own, and account managers spend their time on customers instead of re-keying orders. Add the single most important number here.

  1. Sign in
  2. Order from your catalogue
  3. Approve
  4. Reorder
  5. Get the right invoice
